Terms & Conditions
1. General
These Terms and Conditions ("Terms") govern the contractual relationship between you ("Traveler") and Liberta Inc., operating as Heartland Japan ("Company," "we," "us"), a licensed travel agency (License No. 2-7699) registered in Tokyo, Japan.
By booking a tour with us, you acknowledge that you have read, understood, and agreed to these Terms in full.
2. Booking & Confirmation
A booking is confirmed once we receive your signed booking form, full payment (or deposit as specified), and send you a written confirmation. Until confirmation is issued, no contract exists between you and the Company.
Tour prices are quoted in Japanese Yen (JPY) unless otherwise stated. Prices are subject to change until booking is confirmed.
3. Payment
A deposit of 30% of the total tour price is required at the time of booking. The remaining balance is due no later than 30 days before the tour departure date.
For bookings made within 30 days of departure, full payment is required at the time of booking. We accept bank transfer and major credit cards.
4. Cancellation by Traveler
Cancellations must be made in writing (email). The following cancellation fees apply based on the date notice is received:
- 60+ days before departure: Administrative fee only (¥10,000)
- 30–59 days before departure: 20% of tour price
- 14–29 days before departure: 50% of tour price
- 7–13 days before departure: 80% of tour price
- 6 days or less / no-show: 100% of tour price

5. Cancellation or Changes by Company
We reserve the right to cancel or modify a tour due to insufficient participants, force majeure events (natural disasters, pandemics, government restrictions), or safety concerns. In such cases, we will offer an alternative tour date, a different tour, or a full refund.
Minor itinerary adjustments (accommodation substitutions of equal or higher standard, route changes due to weather) do not constitute cancellation.
6. Travel Insurance
We strongly recommend that all travelers obtain comprehensive travel insurance covering medical expenses, emergency evacuation, trip cancellation, and personal liability. Travel insurance is not included in the tour price and is the traveler's sole responsibility.
7. Liability
The Company acts as an organizer and intermediary between the traveler and various service providers (accommodation, transportation, guides, activity operators). While we carefully select our partners, we are not liable for any injury, loss, damage, delay, or irregularity caused by third-party service providers, natural events, or circumstances beyond our control.
Travelers participate in all activities at their own risk and are responsible for assessing their own fitness and suitability for the chosen tour level.
8. Traveler Responsibilities
Travelers are responsible for:
- Ensuring valid passport and any required visas for entry into Japan
- Informing us of any medical conditions, allergies, or dietary requirements prior to departure
- Following the instructions of guides and respecting local customs and regulations
- Arriving at designated meeting points on time
9. Privacy
Personal information collected during the booking process is used solely for tour arrangements and communication. We do not share your data with third parties except as necessary for tour operations. For full details, please see our Privacy Policy.
10. Governing Law
These Terms are governed by the laws of Japan. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the Tokyo District Court.
